The customer is seeking an experienced and motivated individual to perform in the role of Program Support. In this position, the candidate will support the customer's Front Office and the responsibilities will include a wide range of duties involving initial job planning, scheduling of time, scheduling of materials, coordination of internal and external customers/stakeholders, monitoring of job progress, analysis of changes, and problem solving. As a critical memberof the Front Office, this individual will provide support to the Dean and Associate Dean, as well as provide assistance to otherofficers within the office if necessary. Responsibilities include, but are not limited to the following:
Providing primary schedule support to the Dean and Associate Dean to include the workflow of continuously changing priorities against pre-established hierarchy and de- conflicting any issues
Serve as meeting organizer and formal record keeper/note taker for forums associated with organization's mission.
Serving as entry point for customer's inquiries and questions,disseminating to appropriate department or officer (if needed), and following up with customers to ensure expectations were met
Prepare travel documents and reimbursement requests for Dean and Associate Dean
Scanning and filtering items of interest that should be brought to the attention of Senior leadership, to include preparing documentation to those items which require a response
Providing pertinent, timely information to officers as gleaned from announcements, meeting invites or communications with other departments
Updating and managing the Share Point site, website, and shared folders on the system,
updating postings, announcements, documentations, org charts, phone rosters, seating charts, and calendars
Further developing and managing inprocessing/outprocessing program for personnel to ensure timely and appropriate access control
Maintaining office logistics to include office supplies, computer accessories and printers;and working on facilities related tasks
Plan and coordinate periodic All Hands
.Working with external stakeholders to assist with security clearances, as needed
Coordinating ad hoc projects and other duties as assigned
Provide backup training support to DDIU courses as needed
TS/SCI with Poly clearance required
Excellent communication and writing skills
Strong interpersonal, networking, and critical thinking skills (analysis,judgment,information seeking)
Domain experience and knowledge of customer's processes,procedures, and network
systems and associated applications
Proficient with MS Office suite of products
Demonstrated ability to multi-task and work independently; self-starter
Requires 10 to 12 years with BS/BA or 8 to 10 years with MS/MA or 5 to 7 years with PhD.
